Distribution lists (group email addresses) are managed by IT or by the list's owner. Here's how to request changes and what to do when an email bounces back.
Join or leave a distribution list
Submit a ticket at https://unioncountyit.zendesk.gov/hc/requests/new with:
- The exact name or email address of the list (for example, the clinical mailing list or the all-staff list).
- The names of the people to add or remove.
- Your supervisor's approval, or approval from the list owner.
To see who's on a list, open a new email, type the list name in the To box, and select the + next to it to expand the members.
Create a new distribution list
Submit a ticket with the list's name, its purpose, who should own it, the members, and whether people outside the county should be able to email it.
"Message undeliverable" or a bounce-back email
- Read the bounce message. It usually names the address that failed.
- Check the address for typos. If Outlook suggested an old address as you typed, remove it from the suggestions: start typing the name, hover over the old suggestion, and select the X.
- If the person has left the county, their address may no longer work. Contact their department for a new contact.
- If you're sending to a large list, you may not have permission to send to it. Submit a ticket with a copy of the bounce message.
Personal contact groups
You can make your own group for people you email often: in Outlook, go to People > New Contact Group, add members, and select Save & Close. Only you can use it.
